How to make a video small enough for email or messaging
The most reliable way to make a video easier to send is not always aggressive compression. Often it is shortening the recording, sharing audio instead of pictures, or sending a controlled link. Start with the recipient's actual need, then reduce duration, dimensions, frame rate, or bitrate only as far as that need allows.

Why one attachment works and another does not
Email providers, messaging apps, and workplace systems set their own attachment limits. They may also re-encode video, reject certain extensions, or count all attachments together. These limits and interfaces change, so check the destination's current message before targeting an exact number. Leave some room below the stated ceiling rather than creating a file that fits by only a few bytes.
File size is driven mostly by duration and bitrate. Resolution and frame rate influence the bitrate needed for acceptable quality, while busy motion and visual noise are harder to compress than a static presentation. Changing the filename or putting a video in a ZIP file rarely produces the large reduction people expect because modern video is already compressed.
1. Decide what the recipient needs
Trim the source to the demonstration, greeting, or evidence they actually need. This usually preserves quality better than shrinking the entire recording.
Extract an MP3. A meeting explanation or interview answer may not require the camera track at all.
Use an approved cloud or file-transfer link instead of forcing a large master into an attachment limit.
2. Shorten before you compress

Duration reduction is predictable: removing half of a similarly encoded recording will usually remove roughly half its data. 3. Send audio when pictures add no value

Do not use audio extraction when slides, gestures, screen demonstrations, or visual evidence carry meaning. In that case, shorten the video or create a lower-resolution copy with a dedicated encoder.
4. Use a dedicated encoder for true compression

- Reduce resolution when the video will be viewed on a phone or in a small message window.
- Reduce frame rate for slides or mostly static material, not fast action.
- Lower video bitrate gradually and inspect text, faces, and movement after each export.
- Keep audio clear enough for speech; muddy sound defeats the purpose of sharing.
- Choose a conventional output such as MP4 with broadly supported codecs when compatibility matters.
Do not substitute a GIF for ordinary video
A GIF can be convenient for a silent two- or three-second demonstration, but it has no audio, limited color, and often becomes larger than a well-encoded short video. Use the GIF maker for a repeating visual that truly needs the image format—not as a general compression method.
If a messaging platform plays short video inline, an MP4 or WebM clip will usually preserve more quality per byte. Confirm what the destination accepts before converting.
5. Consider a link instead of an attachment
For a long source or a quality-sensitive deliverable, upload it to storage approved for the material and send a restricted link. Set access deliberately, add an expiry when appropriate, and test the link in a signed-out or intended-recipient view. Do not make confidential content public simply to avoid an attachment ceiling.
A link also lets you replace or revoke a file without sending another large message. The tradeoff is that the host receives the media and applies its own retention, analytics, and access policies.
A final sharing checklist
- Play the exported file from beginning to end.
- Confirm that visual text and speech remain understandable.
- Check the actual file size and extension.
- Scan the clip for private material outside the intended moment.
- Use a descriptive filename without confidential details in the subject line.
- Confirm the recipient can open the chosen format or link.
- Retain the original until delivery is verified.

Start from the number you have to hit
Compression works better as arithmetic than as trial and error. Find the limit first, then work backwards.
Most email systems cap attachments around 20 MB once encoding overhead is counted, and the recipient's limit matters as much as yours — the lower of the two wins. Messaging apps are usually tighter still.
File size is roughly bitrate multiplied by duration, which gives you a lever on each. Half the length or half the bitrate and you halve the file. Knowing you need to get from 90 MB to 20 tells you immediately that trimming thirty seconds off a ten-minute video will not do it, and saves you the two exports it would take to discover that.
The easy option is not always the private one
The usual advice for a file that is too big is to put it in cloud storage and send a link. That works, and it changes who can reach the video.
A shareable link is often readable by anyone who has it, forwardable, and outside your control once sent. For most things that is fine. For a recording with a client, a patient, or an unreleased product in it, a link that circulates is a different risk from an attachment that sits in two mailboxes.
So make it a decision rather than a default. Restrict the link to named people where the platform allows it, set an expiry if there is one, and remember to remove access when the job is finished.
